TRAVEL
READINESS CHECKLIST
The travel readiness checklist is provided to help you
prepare for the trip. This is a suggested common list
of items, which you will have to personalize to your
needs.
MAKING
YOUR TRAVEL PLANS
Meal & seat preferences given to travel desk while
the ticket bookings are done.
A Passport with a minimum validity of 6 months or valid
throughout the duration of your assignment.
Check your Air tickets (confirm the details appearing
on your ticket are proper, check the number of leaves
in the ticket) Check Visa details (e.g. single entry
or multiple entry, date printed, duration of your stay)
Medical Insurance: Copies to be carried and retained
throughout the journey.
Carry multiple Photocopies of passport and tickets,
and keep them in your hand baggage as well as in your
checked-in baggage.
Do not forget to carry extra passport color photographs
with you.
Mail your itinerary to the concerned people for proper
coordination regarding transport & accommodation.
UK weather is notoriously unpredictable and it can be
cold at any time of the year. So go prepared with sweaters,
jeans and jackets.
Rainwear is advisable throughout the year.

MEDICAL KIT:
Carry basic and essential medicines for headache,
cough, cold, fever, vomiting, and diarrhea.
Vicks, painkillers, Index, Gummex, pain killing
gels and cold creams must also be carried along.
Do not forget to pack some first-aid items such
as cotton, antiseptic lotion & Band-Aid
strips.
Take sufficient stock of medicines for common
aliments and those required specifically by
you along with your doctor’s prescription. |
GROOMING
KIT:
Include some shoe polish in your luggage. Keep
one/two extra pairs of spectacles if you wear
one.
Slippers to wear in the house especially in winter
and all your toiletries (ideally in your hand
luggage). |

HAND
BAGGAGE GUIDELINES :
Passport, Tickets, Work Permit, Deputation Letter
with one photocopy of each and the ATM Card
or Cash.
Sufficient extra color passport size photographs.
Carry warm clothes in your hand baggage so that
you are prepared on arrival in UK.
Departure Form with contact numbers of the office
you are visiting and the clients you are visiting.
Credit card /Travel Advance in FOREX/ ATM Card/
Cash /loose coins.
You could carry toiletries, a telephone diary,
a neck pillow for those with neck problems and
food items like biscuits.
Carry an extra pair or two of clothes in your
handbag as in many cities your checked-in baggage
could be delayed.
No sharp instruments should be carried. Nail
Cutter, Scissors will be confiscated.
AIRPORT
ORIENTATION
Arrive at least three hours prior to departure.
AT
THE CHECK-IN COUNTER
Check-in your luggage directly to your final
destination, unless you are planning a break
in the journey.
Collect / fill in / attach baggage tags for
all pieces of your hand baggage.
Please confirm your food-preference.
Collect your Embarkation Card (required to be
filled in and handed over at Immigration-check).
Confirm that you have taken all your documents
viz. passport, boarding card(s) and baggage
tags before you leave the counter.
IMMIGRATION CHECK
Fill in the Embarkation Card before approaching
this desk. Declare your high value possessions,
including cameras, so that you are not harassed
by Customs
Once through this check-in you are not allowed
to come out into the general area.
IN-FLIGHT
GUIDELINES
Please take care of all your documents.
Always be seated on the seat assigned to you.
Follow emergency /important instructions given
by the in-flight personnel.
Food & beverages served on board are free
of charge.
MID
POINTS
At least 2-3 hours will be available. Use this
time to freshen up, stretch & relax.
AT
INTERNATIONAL STOPS
One of the first things that you should do is
to adjust your watch to the local time. An 8+
hour flight can leave you quite tired &
disoriented so do not depend upon your mathematical
abilities to determine the local time. Take
care of your luggage.
Try to determine your departure point in advance.
Some airports are very spread out, and you may
have to traverse quite a distance to get to
your departure terminal for any onward connections.
MEDICAL/ ACCIDENT INSURANCE
No matter how short a trip may be, it is important
to arrange medical and accident insurance coverage
prior to travel. Take note of the following
points:
Ensure that the policy provides adequate medical
cover
In case of an emergency, does the insurance
company pay bills directly, or does the traveler
pay and claim reimbursement later?
Check how you can make claims during an emergency.
Is an emergency service offered whereby you
are provided assistance in a language you can
understand?
Does the policy cover sporting activity that
may carry an element of risk, such as mountain
climbing or skiing?
Can you extend the period of coverage if a trip
is extended unexpectedly?
